PURPOSE OF THE POSITION
Receptionist at the Administrative Unit will provide administrative, logistics and secretarial support services to World Vision Armenia (WVA) Country Office (CO), including coordination of information flow, contribution to operational efficiency and effectiveness. Receptionist plays an integral role in the flow of information into, through and out of the organization and is the first point of contact for anyone contacting WVA CO.
Project Assistant will provide assistance and support to "Protection of most vulnerable children of Vardenis and Kapan through building community resilience and promotion of livelihoods" project for smooth and quality project implementation. The key role of the Project Assistant is to provide Project Manager clerical, administrative and some programmatic support. This position will require close attention to detail, ability to handle multiple tasks and capacity to communicate with different departments within WVA and partners.
MAJOR RESPONSIBILITIES
RECEPTIONIST
Manage the reception area; greet and direct visitors and phone callers to the appropriate department and/or person; take and deliver messages as needed,
Process incoming and outgoing telephone calls, DHL deliveries and other correspondence,
Maintain Administrative Unit files,
Handle typing, word processing, photocopying, and other support needed for Administrative Unit,
Maintain call logs and logs for tender participants,
Monitor and coordinate the requests for the meeting rooms,
Timely update contact list for WVA staff,
Assist in organization of staff meetings and/or special events,
Provide translation and interpretation services upon necessity,
Support during WVA assets inventory process,
Coordinate incoming/ outgoing communication, registration and numbering of documents,
Check general e-mails for WV Armenia Branch and WV Armenia CP Foundation,
Respond and forward any type of feedback (complaint, suggestion, request, appreciation), received via phone, email or face-to-face to respective project teams and accountability responsible,
Request information to respond to the feedback, as necessary (contacts, name, preferred channel of communication, etc.),
Contact the persons who provided feedback to inform about/communicate back WVA response/ resolution,
Fill-in the information related to all received feedback in the community feedback database.
PROJECT ASSISTANT
Assist in preparing requisition forms, acts of acceptance and other related forms, documentation for different programmatic purposes; support with photocopying and filling all necessary documentation,
Assist in preparing letters/ invitations and inform/ mobilize the partners and stakeholders for participation in project events,
Assist Project Manager in organization of trainings and meetings/ workshops with all logistical details,
Assist the project team with maintenance, development and set-up of data collected and periodically send the relevant information to all stakeholders and partners,
Provide written translations of incoming and outgoing letters, project documents, etc.,
Contribute to the maintenance of project knowledge management systems, including organizing and archiving project documents and resources.
REQUIRED QUALIFICATIONS
Bachelor's degree in relevant field, such as business administration, international development, or related discipline,
High sense of responsibility,
Good interpersonal skills and ability to build and maintain good relationships with peers and visitors,
High levels of written communication in Armenian and English and clear and persuasive verbal presentation style,
Politeness, honesty,
Ability to work under pressure,
Prior experience in project coordination or administration is highly desirable,
Good knowledge of NGO policies & procedures,
Experience of coordinating work with diverse teams,
Strong organizational skills with the ability to manage multiple tasks and priorities in fast-paced environment,
Excellent interpersonal skills, with the ability to work effectively with diverse stakeholders,
Proficient computer skills, including MS Office suite (Word, Excel, PowerPoint),
Attention to detail and accuracy in work, with proactive and solution-oriented mindset.
